Almost any functionality is optional within Journyx Timesheet, so you decide if you want to use it or not. It may look overwhelming at first but Journyx Timesheet is intuitive and easy to use. People get Timesheet up and running in just a few hours. The most complex thing to consider is how do you want to set it up - what kind of information do you want to get out of the system? What kind of project structure and how much detail do you want? Once you know the answers to these questions, setup is easy. Journyx Timesheet is installed with a Configuration Quickstart, which is a step-by-step guide that takes you through all the critical steps needed to get the system up and running for your organization. The answers to many frequently asked questions can also be found in the Quickstart.
Users; Users can enter their data using their favorite browser. The entered data is immediately available for further processing.
Staff department / Management; A reporting tool is standard functionality in Timesheet. View reports in HTMl, TXT or in Excel.
Application Administrators; All functionality to administer Timesheet is on 1 page, the sitemap. The functionality is also divided into logical segments like configuration functionality, management of projects, tasks, users etc. and reporting and approvals.
Integration; Timesheet data can easily be exchanged through import and export files or via the JxAPI.
You can make it easy for end users to enter data and submit their timesheets. You define which functionality is available on the entry screens
(for example if you don't want to use the expense or leave administration, simply remove the links to these administrations on the
entry screen).
You can also define which values in the columns on the entry screen can be selected (i.e projects and tasks). This helps to prevent
that users track time on the wrong projects and tasks.
You can allow users to set their own preferences. They can define memorized entries (combination of
projects and tasks that are used often) so that they only have to enter the time they spend on projects without having to select them first.
The user can set temporary memorized entries (entries from up to 4 periods back will be automatically be repeated in the current period) or
permanent memorized entries (combinations of projects and task that are always on the entry screen).
This presentation will demonstrate the functionality of the time entry screen. It contains a short explanation of the columns, the preferences which can be set by the user and a quick look at the expense entry screen.
Timesheet not only offers functionality to make it easy for the end user to enter their data. It offers also functionality to make sure that everyone submits their timesheets on time. For example, you can
define that e-mails are send automatically when users are late with submitting their timesheet. You can send a 'you are late' e-mail to the end user and/or to his manager. You define when
Timesheet should check for late submissions and you can change the text of e-mails to your liking.
You can set up approvals in Timesheet. Approvals can be set up on the timesheet level and/or on the project level. This helps to ensure that the entered data is correct.
Timesheet is installed with a standard report generator (with multiple examples of the kind of reports you can create). You can add custom fields to the Timesheet tables and use
them with reports. There is also something called a 'Cube Report'. This report transfers the data to Excel and creates a pivot table for you.
Once you have created a report in Timesheet, you can copy this report definition to other users. Timesheet ensures that users only see the data on the report for which they are authorised (for example,
a user can see only his own entered data, while a manager can see all the entered data of his employees).
You can also use Timesheet for leave requests. A users submits his request and the appropriate person either approves or rejects his leave request. Once a leave request is approved, the
leave request is automatically entered in the users timesheet.
You can use accruals in Timesheet. An accrual is an automated calculated number of hours. For example, you can set up the amount of available leave hours per user. Whenever the users
tracks time on leave, the total amount of hours available for leave is reduced by the entered hours. A user can see on his timesheet how many hours are remaining.
